Queries Regarding Application Process – Applied University of Sciences

Hello everyone,
I’m currently in the process of applying to the Applied University of Sciences, and I had a few doubts. It would be great if seniors or anyone with prior experience could guide me through the following points:

Application Process

How did you apply (through the university portal, uni-assist, or directly)?
Roughly how many days did it take for your application to get acknowledged/processed?
Did the university contact you directly after submission, or was it through APS/Uni-assist first?

Required Documents

Could you please share a clear list of the documents that need to be uploaded/submitted for the program application? (both mandatory and optional)
For example:

Academic transcripts (10th, 12th, Bachelor’s – in English/German?)
Degree certificate/provisional certificate
APS certificate
Language proficiency test (IELTS/TOEFL/TestDaF)
CV/Resume (any specific format?)
Motivation letter/SOP
Passport copy
LOR (Letters of Recommendation – are they required here?)
DigiLocker documents (does the university accept directly or only through APS verification?)

Practical Doubts Before Moving Abroad

How did you arrange health insurance for the initial visa + after arrival?
Did the blocked account confirmation play any role during university application, or only during the visa?

Any extra documents or forms that the university asked for after admission?
What were the common challenges faced during this stage (document verification, deadlines, communication with the university)?

Hello @Utkal_Das ,

Application Process (Applied University of Sciences)

  • Application mode: Usually via Uni-Assist, though some universities accept direct applications through their portal (check each university’s admission page).

  • Acknowledgment time: Around 2–4 weeks after submission.

  • Contact: If through Uni-Assist → first confirmation from Uni-Assist, then university contacts you after forwarding your verified docs.

Required Documents (Typical List)

Mandatory:

  • Academic transcripts (10th, 12th, Bachelor’s – in English or German)

  • Degree/Provisional certificate

  • APS certificate (mandatory for Indian students)

  • Language test (IELTS/TOEFL or TestDaF as per program)

  • CV/Resume (Europass format preferred)

  • Motivation Letter/SOP

  • Passport copy

Optional (but useful):

  • LORs (some UAS programs ask, others don’t)

  • Experience/Internship certificates

  • DigiLocker docs - Not required, accepted only via APS verification.

Before Moving Abroad

  • Health insurance & Blocked Account:
Both are covered under the Expatrio Value Package (easy setup for visa + post-arrival).

  • Blocked account: Needed only for visa, not for university application.

After Admission & Common Challenges

  • May need to submit certified hard copies or legal translations.

  • Common issues: delayed APS, missing deadlines, or unclear email communication - always check spam and reply promptly.

These are my input from my experience. If you still have doubt and need any help. Fell free to connect or reply.

Hi @Gayatree_B

Thank you so much for sharing your detailed insights about the application process and required documents — this really cleared up a lot of confusion for me. I truly appreciate the effort you put into explaining everything so clearly.

I do have a few more doubts and would really value your guidance:

  1. University & Location Selection I am a bit unsure about how to finalise the right university and location in Germany. From your experience, do you think the choice of city/university makes a significant difference in terms of exposure, networking opportunities, or even career prospects after studies?
  2. Part-Time Jobs During Studies I have also been thinking about part-time job opportunities while studying. Does the availability of such jobs depend more on the city/region or the university itself? From what you know, are part-time jobs fairly accessible for international students, and what are usually the minimum and maximum wages one can expect?

Since I’m highly enthusiastic about pursuing my program in Germany, I just want to move ahead with the right decisions and avoid mistakes at this stage. Your input would mean a lot and help me plan things with more clarity.

Thanks again for your time and support!

Warm regards,
Utkal

Hi @Utkal_Das ,

Yes, the city and university location do make a difference - especially for exposure, networking, and job prospects.
Cities like Frankfurt, Munich, Berlin, Hamburg, or Stuttgart (and nearby areas) offer better company connections, internships, and part-time opportunities due to the presence of large industries and startups.
If your university is near a main city, it’s usually easier to attend job fairs, network with professionals, and find part-time work.

However, remember that living expenses in big cities are higher, so always check the average rent and cost of living before finalizing. If you don’t know German, you’ll find it much easier to get jobs in international or tech-oriented cities like Frankfurt or Berlin. Choose a university that balances career exposure and affordability - near a major city but not right in the most expensive zone. There are less chances to get job in small town or city because of language barrier. Do learn german. I hope this will help.

hey @Utkal_Das

Application Process

  • applied through Uni-Assisthttps://www.uni-assist.de/en/

  • It will took about 3 weeks for Uni-Assist to process and forward my documents to the university.

  • After that, u will get an acknowledgment directly from the university via email.

(Some universities allow direct applications — check your program page under “How to Apply” for confirmation.)

Required Documents

  • 10th, 12th, and Bachelor’s academic transcripts (in English)

  • Bachelor’s degree/provisional certificate

  • APS Certificate (must for Indian students) → https://aps-india.de/

  • IELTS scorecard (for English-taught programs) → https://www.ielts.org/

  • CV (in Europass format) → https://europa.eu/europass/en

  • Motivation Letter/SOP (1–1.5 pages)

  • Passport copy

  • LORs – not required for some of the course, but check your program page

  • DigiLocker documents were accepted by Uni-Assist (if verified and clear) → https://www.digilocker.gov.in/

Practical Doubts Before Moving Abroad

After Admission / Common Challenges

  • The university later asked for certified hard copies of my degree and APS certificate before enrollment.

  • Challenges:

    • APS processing delays (took around 4–6 weeks).

    • Uni-Assist response time.

    • Waiting for university acknowledgment emails.

Hey
University & Location

Yeah, the city and university do matter to some extent — mostly for exposure, lifestyle, and job opportunities.

  • Big cities like Berlin, Munich, Frankfurt, and Hamburg have tons of events, internships, and networking chances. But yeah, rent and living costs are pretty high there.

  • Smaller cities like Darmstadt, Mannheim, or Aachen are quieter and cheaper, and most UAS colleges there have strong ties with local industries, so you still get good practical exposure.

Honestly, focus more on the course content and how “applied” it is — UAS programs are usually great for hands-on experience and internships.

Part-Time Jobs

Job availability mostly depends on the city, not the university.

  • Bigger or industrial cities = more part-time job options (cafés, supermarkets, delivery, campus jobs, etc.).

  • Minimum wage right now is around €12.41/hour, but most students make between €12–15/hour depending on the job.

  • You can work 120 full days or 240 half days per year on a student visa.

Websites like studentjob.de and make-it-in-germany.com are super helpful for job hunting.

Tip

If you want a good balance of cost and opportunities, cities like Darmstadt, Aachen, or Leipzig are great picks.

Hey, thanks a lot for sharing all these really helpful insights!
I’ve actually started learning German as well, but could you please suggest any good platform where I can learn it faster and free of cost online?
Also, I wanted to know from where I can get the complete list of Universities of Applied Sciences in Germany, so I can shortlist them based on my interests and course preferences.

Thanks again for your time and guidance. I really appreciate it!

Hey hii @Utkal_Das,

You can learn German for free on platforms like DW Deutsch Lernen, Goethe-Institut, Duolingo, and YouTube channels such as Learn German with Anja and Easy German. For finding Universities of Applied Sciences, visit the DAAD website
It’s a genuine source where you can apply filters based on your course, language, and location to shortlist the best options. Once you find suitable universities, make an Excel sheet to track their details (like deadlines, requirements, and links) — it’s much easier to stay organized that way. I did make excel sheet with university list and directly looked on their official website for deadline. I hope this will help.

Hey @Utkal_Das Glad to hear that my earlier points helped you
